Data export · one click, complete
Your data, on demand.
A complete, machine-readable export of everything Pia holds for your shop — bills, purchases, customers, suppliers, batches, returns, audit trail, conversation history. Exportable any time, in formats you can actually use.
What's in an export
A single archive containing your shop's entire operational footprint:
- Bills & sales: every line item, GST breakdown, customer link, payment method, edit history.
- Purchases: every supplier bill (including the OCR-captured originals as JPEG), batch details, GRN dates.
- Inventory: current stock per SKU per batch, movement log, expiry dates, MRPs.
- Customers: contact details (where the customer consented), purchase history, refill schedule.
- Suppliers: contact details, outstanding balances, terms.
- Users & roles: who has access, when they last signed in, what they did.
- Pia conversation history: what was asked, what was drafted, what was approved, when.
- Audit trail: every state-changing action, timestamped, signed, exportable.
Formats
| Format | Best for |
|---|---|
| CSV (one file per table) | Spreadsheets, Tally/Marg import, the CA who wants to audit a quarter |
| JSON (one file per table) | Engineering teams, custom migration scripts, BI tools |
| SQLite database | A single file that contains everything with referential integrity intact |
| PDF (summarized) | Human-readable monthly/quarterly summary for compliance archiving |
Every export contains a manifest with row counts per table, a SHA-256 checksum, and a generation timestamp. You can verify the archive hasn't been tampered with after download.
How to export
- Open Pia, go to Settings → Data export.
- Pick the format(s) you want. CSV is the default.
- Pick the date range. Default is “everything we hold.”
- Tap “Generate export.” You'll get a notification when it's ready — usually 30 seconds for a small shop, a few minutes for a multi-location chain.
- Download the archive from the notification or from Settings → Past exports.
SLA
- Self-serve export: generation begins immediately, completes within minutes for the vast majority of shops.
- DPDPA access request: we will provide a complete export within 7 days of an authenticated request, even if the in-app flow is somehow unavailable. Email [email protected].
- Account closure: we will provide one final complete export at the point of closure, no questions asked.
What you can do with the export
- Migrate elsewhere. The CSVs map cleanly to Tally and Marg field schemas. We publish field-mapping templates — email us for the latest.
- Hand to your CA. The PDF summary is laid out around GST filings; the CSVs are the source of truth.
- Archive for compliance. Indian retail businesses are required to retain records for 8 years; the export is the canonical artifact.
- Move to a new Pia account. If you're restructuring (new GSTIN, new ownership), we'll import an export from a closed account into a new tenant. Free, takes a day.
What we don't do
- Withhold an export to keep you on the product. Your data is yours, full stop.
- Charge for an export. Every export, every format, every date range — free.
- Apply a “noncompete” or “cooling period” before you can move data. There isn't one.
- Strip metadata to make migration harder. Every field, every timestamp, every relationship is in the file.
